Requirements:

  • Minimum 1 year of experience in a front desk, reception, or customer service role, with the ability to adapt to a broad range of professional settings.
  • Proficiency in office software such as Microsoft Office Suite (Word, Excel, Outlook) and familiarity with basic scheduling and visitor management tools.
  • Excellent verbal and written communication skills, combined with a friendly and professional demeanor.
  • Strong organizational abilities, attention to detail, and the capacity to multitask in a fast‑paced environment.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Roles and Responsibilities:

  • Greet and welcome all visitors, clients, and staff, ensuring a positive first impression of Aegis.
  • Manage incoming calls, emails, and correspondence, routing them to the appropriate departments promptly.
  • Maintain the reception area, ensuring it is tidy, organized, and stocked with necessary supplies.
  • Coordinate meeting room bookings, handle scheduling conflicts, and assist with logistical arrangements for events.
  • Process and distribute mail and packages, track deliveries, and manage courier services.
  • Provide basic administrative support, such as data entry, filing, and preparing reports as needed.
  • Assist with onboarding procedures by preparing visitor badges, coordinating tours, and supporting new employee introductions.
  • Handle inquiries and resolve minor issues, escalating more complex matters to senior staff when appropriate.
